Position Overview:

Our Client is seeking a highly skilled and experienced Personal Assistant to provide top-level support to the CEO. This individual will act as a crucial mediator between the CEO and key departmental heads, ensuring seamless communication and coordination across the organization. 

The ideal candidate will possess exceptional organizational abilities, a strong sense of discretion, and the ability to manage multiple priorities in a fast-paced environment.


Key Responsibilities:


Personal Assistant Support:

  • Manage schedules (calendar management), appointments, and travel arrangements for CEO. (Calendar management includes scheduling meetings as well).
  1. Communication Management: Handle all incoming and outgoing communications for CEO and affiliated verticals.

  2. Meeting Preparation: Prepare agendas and materials for meetings, ensuring all necessary resources are available, and taking notes /minutes of the meeting and remind CEO on deadlines and tasks.

  3. Organize and maintain digital filing systems and important documents for CEO.

  4. Liasoning with various team heads for completion of tasks given out by CEO in company tools.

  5. Open to travel with CEO or stakeholders for seamless workflow management and on-site support.

  1. Assist the CEO in planning, coordinating, and executing special projects and strategic initiatives.

  2. Track the progress of key projects and provide regular updates to the CEO and relevant stakeholders.


Confidentiality & Discretion:
  1. Maintain a high level of confidentiality regarding sensitive information.

  2. Ensure documents and information are securely managed, especially during travel.

  3. Attend training or workshops or exhibitions or social events to enhance personal skills relevant to the role.


Customer Relationship Management (CRM):
    1. Foster and maintain relationships with customers through timely communication and support for any clients onboarded by CEO or immediate team.

    2. Assist in building community/team as deemed fit for the organization.

    3. Respond promptly to customer inquiries and issues via email, social media, or chat platforms and refer them to respective managers for them to solve

    4. Gather customer feedback and insights to improve services and products.


Event Management:
    1. Assist in planning and organizing social events, including logistics, invitations, and follow-up on behalf of CEO as directed.

    2. Represent the company professionally at events, ensuring positive engagement with attendees. Ensuring guest list and company protocols during the event.


Reporting and Metrics:
    1. Track and report on employee and customer traction to CEO

    2. Provide regular updates to management on key metrics related to customer relationships and event success.


Collaboration and Communication:
    1. Work closely with internal teams to ensure CEO needs are met and time lines are tracked.

    2. Facilitate clear communication between the executive team and external stakeholders.



Professional Development:
  1. Stay updated on industry trends and best practices related to customer engagement and event management.


Executive Assistance:

    1. Providing personal assistance for things like running errands or arranging personal appointments.

    2. Manage personal tasks and keep the executive updated on key family or personal commitments.

    3. Organizing team lunches or dinners/client meet-ups/ any corporate gifting.



Crisis Management:
    1.  Act as a first point of contact for the CEO in times of crisis, managing urgent issues and ensuring that the CEO is briefed and prepared to respond effectively. o Coordinate with departmental heads to implement contingency plans and crisis

management strategies.


Qualifications:
Experience: Minimum of 7-10 years of experience as an Personal Assistant, preferably

supporting C-level executives.


• Education: Bachelor’s degree in business administration, Communications, or a

related field; a Master’s degree is a plus.


 Skills:

  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication skills.
  •  Proven ability to manage multiple priorities and work under pressure.
  • High level of discretion and professionalism.
  • Strong interpersonal skills with the ability to build and maintain relationships atall levels. Should be willing to represent the CEO for events as need be.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with project management tools and software is an advantage. o Willing to travel would be an additional benefit.
